Estate Planning Department – Legal Administrative Assistant

This person will be assisting attorneys, Paralegals, and other assistants in all aspects of the estate planning department. This department is a fast-paced, deadline-driven environment with constant client interaction.

  • Answering multiple telephone lines, message documentation.
  • Interacting with clients daily via email and phone.
  • Scheduling meetings and maintaining calendar for multiple attorneys.
  • Processing attorney edits.
  • Drafting simple letters.
  • Proofreading agreements, trusts, wills, and all client related documentation.
  • Preparing client binders of signed estate planning documentation both in hard copy and PDF format with table of contents.
  • Perform other related duties as assigned.
Qualifications
  • Proficiency in Microsoft programs.
  • Microsoft Word, with proficiency in document formatting.
  • Outlook, maintaining attorney calendars, conference scheduling.
  • Proficiency in searching within the calendar for a sender’s email for documents and information relayed to clients.
  • Excel spreadsheets, ability to format large spreadsheets for printing.
  • Ability to format and create flow charts.
  • Familiarity with document management software (i.e., NetDocuments).
  • Ability to learn new software when necessary.
  • Familiarity with time and billing software and ability to research client accounts receivables, billing and payment history and work in progress.
  • Familiarity with red-lining software (i.e., Workshare Compare).
  • Demonstrates effective interpersonal communication skills, both verbally and in writing to facilitate effective working relationships with attorneys, clients, and support staff.
  • Ability to work independently as well as effectively within a team in a deadline-driven environment.
  • Ability to handle multiple projects, multiple attorneys, and paralegals with shifting priorities, and meet deadlines.
  • Ability to assume progressive responsibilities within assigned work as experience is gained in the position.
  • Be dependable and act with a high level of professionalism.
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
